When you register, we store your email address, display name, a password hash, account permissions and creation/update timestamps. We use these data to provide and manage your account under Article 6(1)(b) GDPR. We do not store your password in plain text. Authorised administrators manage account permissions; the owner can change account details and reset passwords.
The necessary cookie "ashen_session" keeps you signed in for up to seven days. Signing out clears the cookie and ends that session. Changing your password, email address or permissions revokes existing sessions. This cookie is used for authentication, not advertising. You can use public pages without registering.
4. Member and team profiles
Approved member profiles are visible to everyone, including visitors who are not logged in, and may be indexed by search engines. Public information includes your display name, biography, character, world, pronouns, Discord username, profile picture, cover picture, membership date and profile ranks, where provided. Your email address and password hash are not part of your public profile. Pending and suspended member profiles are not shown to visitors. Published team entries are also public.
Our legitimate interest under Article 6(1)(f) GDPR is presenting the club and its member community. Optional profile fields do not have to be completed. Do not upload personal information or images you do not want to make public. Contact the controller to object to publication or request removal. Administrators can assign public profile ranks.
5. Account notifications
We send transactional notifications about account approvals, suspensions, restored access and changes to passwords, email addresses or permissions. The legal bases are Article 6(1)(b) GDPR for account administration and Article 6(1)(f) GDPR for account security. These are not marketing emails. When an email address changes, both the previous and new addresses receive a notification.
We use Resend (Plus Five Five, Inc.) to send these messages. Recipient addresses and message content are transmitted to Resend. Passwords and password hashes are never included. Resend's data processing terms describe processing in the United States and standard contractual clauses for relevant international transfers: https://resend.com/legal/dpa . Email delivery also involves the recipient's email provider. We retain notification and delivery records and account administration audit records for account support and security.

The login cookie expires after seven days; expired server-side sessions are removed during subsequent sign-ins. Replacing a profile image does not automatically delete the previous stored file. Backup copies and notification records are retained separately. Contact the controller about account deletion and removal of stored files.

The current website does not embed advertising, analytics trackers or third-party web fonts. Links to Discord and other external websites do not load those services until you follow the link.
